Booking Terms

Welcome to Social Trove. To ensure a professional and transparent experience for all our clients, the following policies apply to all project-based bookings, digital products, and consultancy services. By making a payment or proceeding with a booking, you agree to these terms and conditions.

1. General Booking & Payment Terms

  • The Booking Fee: For content shoots and bespoke strategy work, a 50% non-refundable retainer is required to secure your date. No dates are officially held or confirmed until this payment is received.

  • Final Balance: The remaining 50% for content shoots is due strictly 7 days prior to the scheduled shoot date.

  • Consultation Calls: 1:1 sessions and strategy calls must be paid in full at the time of booking.

  • Delivery Hold: Social Trove reserves the right to withhold final content or strategy delivery until all outstanding invoices are paid in full.

2. Content Shoot Policies

  • Rescheduling: We require a minimum of 72 hours’ notice for rescheduling. Retainers may be transferred to a new date (subject to availability) once, provided notice is given within this window.

  • Short Notice/Cancellation: Rescheduling with less than 72 hours' notice, or a full cancellation, results in the forfeiture of the 50% non-refundable retainer.

  • Punctuality: Your shoot duration begins at the agreed time. If you are late, that time is deducted from your total shooting window.

  • Creative Judgement: If a specific shot list is not provided at least 48 hours before the shoot, Social Trove will use professional creative judgement. Re-shoots requested due to a change in aesthetic preference will be treated as a new booking.

  • Weather: For outdoor shoots, if weather conditions are deemed unworkable by the creator, one alternative date will be provided at no additional cost.

3. Strategy & 1:1 Consultations

  • Rescheduling Calls: You may reschedule your call up to 48 hours before the start time.

  • No-Shows: If you are more than 15 minutes late without notice, the session is considered a "no-show" and the fee is forfeited.

  • Strategy Refinements: Bespoke strategy documents include one round of minor refinements. Significant changes to the initial brief after work has commenced will incur additional fees at our standard hourly rate.

4. Digital Products & Marketing Templates

  • No-Refund Policy: Due to the digital nature of templates and guides, all sales are final. Once access is granted or a file is downloaded, we cannot offer refunds or exchanges.

  • Usage Licence: Purchase grants you a single-user licence. You may use these for your own business or your direct clients. You are strictly prohibited from reselling, redistributing, or claiming the original designs as your own.

5. Usage & Copyright

  • Ownership: Social Trove retains full copyright of all images, videos, and proprietary strategy frameworks produced.

  • Usage Licence: Upon final payment, the Client is granted a perpetual, non-exclusive licence for use on their own website, social media, and digital marketing.

  • Third-Party Restrictions: Content may not be sold or licensed to third-party brands or stock sites without prior written consent and an additional licensing fee.

6. Statutory Rights & Cancellations

  • Digital Content: By downloading a digital product or attending a call/shoot scheduled within 14 days of booking, you acknowledge that you waive your statutory right to a 14-day cooling-off period once the service has been performed or the digital content has been accessed.

7. Retainer Clients

For clients on a recurring monthly retainer, your signed Service Agreement remains the primary governing document for our partnership. In the event of any conflict between these general terms and your signed agreement, the terms of your signed agreement shall prevail.

8. Additional Costs

Any location permits, parking fees, specific prop purchases, or travel expenses (outside of our standard operating area) are the responsibility of the Client and will be added to the final invoice.
